USD 386 Board Of Education Revisited Discussion Of Building Use During Inclement Weather

The Madison/Virgil USD 386 Board of Education heard from Superintendent Tammy Baird who revisited discussion pertaining to building use during inclement weather. Baird noted she had consulted the school’s attorney who suggested, and she agreed, that the school district facilities stay closed during inclement weather days. She advised that this would include not having recreation team practices on those days as well.

The Madison/Virgil USD 386 Board of Education heard from Superintendent Tammy Baird who revisited discussion pertaining to building use during inclement weather. Baird noted she had consulted the school’s attorney who suggested, and she agreed, that the school district facilities stay closed during inclement weather days. She advised that this would include not having recreation team practices on those days as well.

Baird also presented an example of a general policy pertaining to facility use that she would recommend and asked that members of the board review and discuss it at the next meeting. The policy is an example she received from another district, and Baird feels that it aligns well with what she would like USD 386 to implement. The draft provided includes the following information: “Use of school facilities or school grounds by community groups may be allowed by the board on a temporary basis. The following fees for the use of the facilities equipped as is. Additional fees will be charged for pianos, chairs, projectors, public address systems, etc., not in the facility. No alteration to any facility shall be made by the renter or their personnel without the written permission of the superintendent.” 

The draft also goes on to state that the policy will be administered by the superintendent or an authorized designee. The draft also states that private organizations and businesses gaining profit from an event held in a district facility will be charged. It clarifies that civic and supporting organizations, or community improvement and student assistance organizations, will not be charged. Organizations listed that will not be charged included: Junior Miss Scholarship Program; Miss Kansas Pageant; Alumni Association; Vo-Tech; Arts Councils; Lions Club; Rotary Club; Kiwanis Club; V.F.W.; American Legion; Elks Club; Chamber of Commerce, City/County Recreation; Military Band; Swim Team, Parents of Seniors for School Purposes; 1x2.75=$19.94

Kansas National Guard; Community Playhouse; occasional usage by 4-H, Boy Scouts, and Girl Scouts, etc.

During public forum, Kim Gaines with the Madison After Prom Committee, asked the board for transportation to Wichita on April 6. The board approved this request to include 2 busses and 2 drivers, with a 7-0 vote.

In other business, the board heard updates on the Ag building, food service, ESSER, KESA, Parents as Teachers and transportation.

Members of the board approved Dallas Thompson to finish Jenn Boles’s term on the Recreation Commission as the board representative, as Boles stepped down.

During the administration report, Elementary Principle Amanda Schild gave an update on what has been happening at the elementary school, including the playground receiving needed mulch. In Baird’s report on the high school, she stated that the Greenwood County Spelling Bee was recently held at Madison High School, the new HVAC units should be completed soon and the Scholar’s Bowl team recently competed at substrate. Due to an error in regards to dates listed for Spring Break, Baird advised that the district calendar approved last month will need to be corrected and voted on again.

The board went into an executive session for 20 minutes pertaining to personnel, with no action taken following. The board went into executive session for negotiations for 20 minutes. Following the session, no decisions were made. The next board meeting will be March 11 at 7 p.m.
